Privacy Policy
Last updated: 1 July 2025. This policy applies to ashraftradersvic.online and to the business operations of Ashraf Traders (VIC) Pty Ltd generally.
Ashraf Traders (VIC) Pty Ltd (ABN 97 702 745 293) (“we”, “us”, “our”) is a wholesale trading and distribution company based in Melbourne VIC. We respect the privacy of every person whose personal information we handle, and we are committed to managing that information openly and transparently in accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth).
This policy explains what personal information we collect, how and why we collect it, who we disclose it to, and how you can access, correct or complain about the handling of your information.
1. The kinds of personal information we collect
The personal information we commonly collect and hold includes:
- your name, business name, position and role;
- your email address, postal address and delivery address details;
- information about your enquiries, quote requests, orders, purchases and account history;
- billing and payment details necessary to complete transactions (we do not store full card numbers on our own systems);
- records of your communications with us, including emails and web form submissions.
Where lawful and practicable, you may deal with us anonymously or under a pseudonym. In most wholesale trading and distribution contexts, however, we need identification and delivery details to process orders, deliver goods, issue invoices and meet our tax and record-keeping obligations under Australian law.
2. How we collect personal information
We generally collect personal information directly from you, including when you:
- submit an enquiry or quote request through this website;
- place an order, open a trade account or correspond with us by email;
- visit or interact with this website, including through cookies and similar technologies;
- attend trade events, respond to our marketing or enter into a supply arrangement with us.
We may also collect information from third parties, such as credit reference agencies, logistics partners and business referrers, where it is unreasonable or impracticable to collect that information only from you.
3. Why we collect, hold, use and disclose personal information
We collect, hold, use and disclose personal information for purposes including:
- responding to enquiries and preparing quotations;
- processing, fulfilling and delivering orders;
- managing trade accounts, credit checks, invoicing, payments and debt recovery;
- providing customer service, warranties and product support;
- improving our website, products and services;
- complying with Australian laws, including tax, customs and consumer laws;
- sending marketing communications where permitted by law.
We will not use or disclose your personal information for a secondary purpose unless you would reasonably expect us to do so, you have consented, or the use or disclosure is otherwise permitted or required under the APPs.
4. Disclosure to third parties
We may disclose personal information to third parties who assist us in operating our business, including:
- freight, courier and logistics providers engaged to deliver goods on our behalf;
- payment processors and financial institutions;
- our professional advisers, such as accountants, auditors and lawyers;
- IT service providers that host our systems or support this website;
- government agencies, regulators and law enforcement bodies where required or authorised by law.
We take reasonable steps to ensure that any third party we engage handles personal information in a manner consistent with the Privacy Act and this policy.
5. Overseas disclosure
Some of our service providers, or the infrastructure that supports their services, may be located outside Australia. Where personal information is disclosed overseas, we take reasonable steps, consistent with APP 8, to ensure the recipient does not breach the APPs in relation to that information.
6. Direct marketing
We may use the personal information you provide to send you news, offers and product updates relating to our wholesale trading and distribution services. Every direct marketing communication will include a simple way to opt out, and you may also ask us at any time to stop sending marketing material by emailing ceo@ashraftradersvic.online. We do not sell your personal information to third parties for their own marketing purposes.
7. Cookies and website analytics
When you use this website, we and our service providers may collect technical data such as your IP address, browser type, referring pages and the pages you view. This information is used to operate, secure and improve the website and generally does not identify you personally. You can usually adjust your browser settings to refuse cookies, although some parts of the website may not function properly as a result.
8. Security of personal information
We hold personal information in electronic records and, in some cases, in paper records. We take reasonable steps to protect that information from misuse, interference, loss and unauthorised access, modification or disclosure, including through access controls, secure storage and staff awareness. When personal information is no longer needed for the purposes for which it was collected, and we are not required by law to retain it, we take reasonable steps to destroy it or ensure it is de-identified.
9. Access to and correction of your personal information
You may request access to the personal information we hold about you, and ask us to correct it if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading. To make a request, email ceo@ashraftradersvic.online. We will respond within a reasonable period and, where reasonable and practicable, provide access in the format you prefer. We may charge a reasonable fee for providing copies of records, and if we refuse a request we will explain the reasons and how you may complain about our decision.
10. Privacy complaints
If you believe we have breached the APPs or this policy, please contact us first so we can try to resolve the matter. We will acknowledge your complaint and aim to provide a substantive response within 30 days.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by writing to the OAIC, GPO Box 5218, Sydney NSW 2001.
